How do I work with a Virtual Assistant?

A Virtual Assistant works remotely – they never have to step foot in your office! They can do anything you need, provided they have clear instructions. All our Virtual Assistants work Mon-Fri 8-4 EST ensuring that all your tasks are done on time. Better still? Time spent on each task is tracked precisely by the second. So there is no round ups to nearest 15 minute block. You also don’t have to worry about break times, vacations, income tax or anything else!

Do I have to train my Virtual Assistant?

Our Virtual Assistants are trained, very experienced and skilled. There is no training required on your part. But since we love to do things YOUR way, it is a great idea to explain to your VA how would you like tasks to be completed, if necessary. This may be as simple as a document with instructions, or a screen recording video with instructions (recommended). All our Virtual Assistants have years of experience in VA roles, and are super-fast learners. Most clients find they spend around an hour or so on coaching, and then provide feedback ongoing!

How quickly will my tasks be completed?

Turnaround time depends on the complexity and urgency of each project. If your project is time sensitive, a deadline will be agreed upon before work begins. Our Virtual Assistants are committed to delivering all tasks on or before the deadline. Most simple tasks are completed within few hours to 24 hours.

Do I get a dedicated assistant for all my tasks?

Absolutely! We believe that getting to know our clients, learning about their company and their needs is the most important aspect of building a successful and beautiful relationship.

What are the limitations and who should not use this service?

Our service is geared to internet entrepreneurs, business owners, and busy individuals who need help with their everyday tasks online. It is important to understand there are certain limitations of what you can use our service for at this price level: We are not a call center, so your V.A. will not be available to call on the phone, Skype etc. Your V.A. will not be able to accept incoming calls. We have built an incredible team of highly skilled assistants to help you with your everyday tasks, such as graphic design, administrative tasks, website setup and maintenance, video editing, podcast editing, online research, social media, advertising and marketing and so on. We have found the the most successful use of our VAs happens when clients know exactly what they need help with and have a workflow in place to delegate tasks. Your VA can certainly help you to setup such workflow.

I would like to take it for a test run. Do you offer a trial?

That’s a fair question. Of course we do! Click here to submit a small trial task (usually a video with instructions to make sure we understand your specific needs) and we will have it assigned to a VA and done for you within 24 hours. Limited to 30 minutes. What happens after I sign up?

Please allow up to 12 hours for your account to be set up and to be assigned a dedicated VA. Once this process is completed, we will email you to provide access to your personal dashboard where you can add tasks, leave messages, share files and so much more. While your account is being set up, it is a great idea to prepare a list of tasks you would like to outsource to your VA, as well as write down all instructions and requirements you would like your Virtual Assistant to follow.

How are the hours tracked?

We use advanced time tracking tools to ensure the most accurate time tracking possible. All tasks which are completed for you are time tracked – meaning your VA will Start Timer when he/she begins working on your task and Stops Timer when the task is completed or VA has switched to a different task. If it takes your VA 5 minutes and 12 seconds to go through and sort your inbox, that is the exact time which goes towards your monthly plan. You can rest assure that you will only be charged for work performed and not a second more.

What measures do you take to protect my privacy?

We are registered with and follow all the requirements of Data Protection Act. We have internet firewalls, internet restriction policies, Physical security of our offices: Fingerprint based entry and exit, IP based security cameras, 24 hour security personnel on duty and all our VAs complete background checks as well as Information Security Training. Your personal information is always 100% secure.

Can I access my Virtual Assistant on the go?

Sure. At Vasumo, we give high priority to giving complete freedom for you to decide when and how to access your Virtual Assistant. Our task management platform has native Web, IPhone, IPad, and Android apps. After you sign up, you will receive  access to your Task Dashboard, where you can quickly and easily add tasks, share files, leave messages and instructions for your VA.

What happens if I run out of hours? Can I use more hours than what is included in my plan?

No need to worry! If you ever need more hours during a particular month, simply ask your V.A. to renew your plan. Simple as that. There are no extra charges or fees. We can also create a customized plan just for you.

How do I cancel my memebrship?

It takes few seconds to cancel your membership with Vasumo. Simply let your assistant know or email prior to your monthly renewal date. Cancelation received after the account’s renewal date will be processed starting the next renewal date. Due to the nature of the business, there are absolutely no refunds or credits for cancelations made after your billing date. Please plan your usage appropriately.
